Confirmation & receipt: After receiving photo copy of
your passport, and 25% advance form you, we send you final
Full Payment: Remaining balance can be made after your
arrival in Nepal. Full payment should be made before trip
departure. Be mindful, we also reserve the right to cancel
your trip provided full amount is not paid in time.
Last minute booking: We accept your last minute booking
(15 days prior to tour departure date).
Cancellation & Unused Services by the Client:
Regardless of the reason, unused services during the tour
including transportation, hotel accommodation, meals and
sightseeing are almost neither refundable nor exchangeable.
But in a considerable condition refund is possible if it is
according to the rules of booking & cancellation of service
providers. Because amount is paid already to all the related
service providers for the trip. Cancellation of a confirmed
booking must be made by the Client in writing either in
written documents. Cancellation shall valid with approval
from the company after receiving document & according to the
rules of refund .
Change of departure date after confirmation is not
permitted. But can be negotiated to change it with other
trip of same nature & same cost. Transfer of booking to
another person may be accepted.
Health & Fitness Requirements: The Company is unable to
accommodate participants with physical or mental disability
who require special attention. Our tours involve frequent
and strenuous walking and stair climbing. A high level of
fitness is required of all clients. A client who is deemed
unreasonably impeding the progress of the tour due to
physical disability will be removed from the tour at the
Insurance: The Company strongly recommends that all
travelers purchase trip cancellation & interruption,
hospital and medical, and baggage insurance to protect their
Travel insurance is compulsory for all Clients undertaking
any tour. It should provide adequate protection for the full
duration of the tour to cover personal injury, medical
expenses, repatriation expenses, helicopter evacuation, loss
of luggage, etc.
Risk & Liabilities: We are committed to providing the
best services which will give you a once in a life time
journey In this connection, we perform our duties honestly &
seriously to make your journey very smooth & pleasant.
However, the entire programs in Nepal/Tibet/Bhutan are
conducted strictly under the rules and regulation of theirs’
own Govt. policies.
Therefore Responsible Trek and its related organization
shall not be responsible for any changes in the itinerary
due to unavoidable circumstance out of our control such as
govt. restriction, Land slide, road blockage, flood, snow
political unrest, cancellation of flight, delay, sickness or
accident, Any extra cost incurring there of shall be borne
by the clients on the spots.
Also company will not be responsible on any loss, theft or
damages of you belongings. It comes completely in your care
Complaint & Claim against the Company: Any complaint
must be brought to the attention of the tour guide
immediately while on the tour. Any claim against the Company
must be filed in writing and be received by the Company
within 30 days upon completion of the tour.
Clients must be aware that there may be different living
standards and practices outside of their home country
including but not limited to provision of utilities such as
water, electricity, accommodation, food preparations and
services of all kinds. Under no circumstances shall the
Company be responsible for any inconvenience, loss, damage
or injury resulting from these conditions.
We hope our valuable guests understand the conditions even
it is not referred here & cooperate us to make the trip
smooth, pleasant & remarkable.
Reservation with the Company confirms that the client has
read, understood and agreed to each and all of the above
terms and conditions
